Task 6 Undertake routine maintenance tasks on a standalone computer system


Organisation and naming files

There are ways on how you can organize your files. One is moving  a file to it's appropriate category folder. Moving a file can be done in two ways.

1.) The first one is right click the files and cut it and then open the folder you want the files to be move to, then right click and click on paste.
Right click the files then click on cut
Open the folder where you want to move the file then right-click and click paste











































2.)  Another way of moving a file is the dragging the file into the folder.
Drag the file into the folder
















Naming files can be done in 3 ways:

1.) The most common way of naming a file is when your'e saving a file, the computer will asked you what name do you want it to be saved as and then you will type it in the textbox right next to the text file name.


















2.) Another common way is by right clicking the file you want to name and then click on rename





















3.) The last way to name a file which is not commonly used is by clicking a file and then wait for about 1 second then click the file again and  it will let you rename the file.
Click the file and wait for about 1 second



















Click the file again after 1 second and then you can rename it





















Back-up procedures e.g. online, off-line; backup media

Online back-up
Online back-up is a procedure of backing-up files through the used of an online back-up system. There are loads of online backup systems, some of them can be bought and some of them are free. I am going to show you one of my favorite free online back up sites that I use which is 'Google Drive'

Google drive can be found on the top menu of Google

Google drive can be access by using a Google account. Google drive comes with free 5 GB of storage but there are some plans which can be paid to increase the storage size
Google drive also comes with office applications which can be use in the browser with no download required



Google drive let's you upload not only files but also folders










Automatic update install 
1.) Go to Control panel > System Security > Action center 
2.) Then choose system security and click action center
3.) Click on change settings from the left side menu
4.) From there you can choose what day and time do you want the computer to install updates for you.






Archiving: Defragmentation
1.) Click on start button
2.) Type in 'Disk Defragmenter
3.)



Deleting temporary files
Cleaning hardware: (Monitor)
1.) Get a clean cloth
2.) Get a screen cleaner and spray some on the monitor screen
3.) Wipe the monitor screen throughly and then it's all clean





Replacing consumables: (A4 printing paper)
1.) Take the new A4 printing paper and place it in the paper tray






Replacing damaged components : (Mouse)
1.) Disconnect the broken mouse
2.) Connect the replacement mouse to the usb port

Correct paper size are set for printing:



Open Microsoft Word or any software that lets you print























Go to File and click he Page setup






















A new window will then appear






















In the new window you can choose what
paper size you want it to be
























You could also choose what orientation you
want it to be and set the margins























Default folder settings are correct:



Go to Control Panel























Choose Appearance and Personalization






















Find Folder Options and click it






















A window will then appear






















If the folder option window, you will find
Restore Default button






















You then click Restore Defaults and click Apply



















Desktop shortcut go to the right place:

Right-click the shortcut that is not in the right place
, click 'Send to' and then choose
'Desktop (create shortcut)'
























The shortcut will then appear in the desktop

Task 4 Configure a computer system to meet user needs



How to change the BIOS password:
1.) The PC should be off first
2.) Turn on the computer and the computer will show you what you need to press to go the BIOS.
3.) Immediately press the button to go to the BIOS
4.) The computer will then load the BIOS
5.) Go to the security tab using the arrow buttons
6.) Go down to the change password and press enter
7.) It will then ask you to enter a new password
8.) Type in a new password and confirm it

How to edit anti-virus configurations: (AVG scan schedules)

1.) Open the AVG
2.) Click on Scan options
3.) Then manage scans
4.) Click on edit scan schedule
5.) You can then choose if you want it to run every number of hours or day, run every specific time and run every time the computer starts-up
6.) After you set your preferred scan schedule, you click on save

How to edit a desktop for a person with visual impairments:
Editing Icon size (Windows 7)
1.) Editing Icon size is very easy in window 7 if you have a scroll-enabled mouse
2.) Click on the desktop icon then press and hold Ctrl key and used the mouse scroll
Editing Desktop Background (Windows 7)
Click on start button and click on Control panel














Choose Change desktop background in the Appearance and Personalization
 section












There will be then a selection of theme background that you could choose




















How to edit start-up settings:
1.) Click the start button then click run
2.) Type in ms config and click run
3.) The system configuration utility window will then appear
4.) From there you can choose what programs could be run on boot up and start up and you can disable programs that you don't want running when the computer is boot up.


How to set file sharing permissions:

1.) Right-click on a file or folder which you want to set a sharing permission and choose properties
2.) Go to the sharing tab and click advance sharing where you could add comments and then click on apply.
3.) You then click on share and type the of the person you want to set a sharing permission 
4.) After you chose a user you then click on share then click on done.
5.) There is also a 'share with' button at the top of the file manager where you could choose whom you would like to share a file or folder.

How to create and reconfigure application toolbar: (Open-office)
1.) Open an application
2.) Find and click on 'view' from the top menu.
3.) Go down to 'Toolbars' 
4.) You then choose from the list which toolbars do you want to be displayed in the application. Toolbars in the list that has a tick on it is already on display











































Task 1-3

Setting up a standalone PC





The basic PC components that is required to setup a computer system is a monitor, system unit, keyboard, mouse, and speakers. 

1.) Connect the Monitor to the system unit using VGA cable and to give the monitor power, connect it to the socket using power cable.
2.) To give the system unit power, connect it to the socket using another power cable.
3.) Now, connect the mouse and keyboard to any USB ports in the system unit. 
4.) To install the speaker connect the speakers cable to the speaker port in the tower. (see tutorial of this in the 2nd video)

How to install a RAM:
1.) First find the RAM slot which is in the motherboard.
2.) Take the RAM and place it in the slot.
3.) Push the little white lock to secure the RAM.

How to replace a sound-card:
1.) First thing to do is to take out the current sound card for the sound card slot which is right next to the power supply.
2.) Unscrew the current sound card and disconnect the cable attach to it.
3.) Remove the sound card from the slot.
4.) Take the replacement sound card and slot it in.
5.) Connect the cable.
6.)  Put the screw to secure the sound card.

How to replace a disk drive:
1.) First take out the current disk drive.
2.) Take out the screw attached to it and  disconnect any cables connected to it.
3.) Take the current disk drive out of the tray.
4.) Get the replacement disk drive and slot it in the disk drive slot.
5.) Put the screws back in.
6.) Connect all the cables that was supposed to be connected to it.

How to install an Operating system: (Windows 7)


 1.) Put the device Windows 7 installer to the computer. Can be either from a CD or a USB memory stick.

2.) It will then check the computers specs.

3.) You will then have to tick the box to where it says 'i agree', if you don't then you won't be able to continue the installation

4.) Choose the language, time and currency format, and keyboard and input method that you want then you click 'install'

5.) The installer will ask for a username and a computer name and a password

6.) After the username and password has been entered, the install will ask you how you want the windows to be setup and the best option for this is to choose the recommended settings.

5.) You will ten choose your timezone and date.

6.) And then all you need to do is wait for it to finish the setup. Then the computer requires you to restart it then the windows  installation is finish and ready to use.























How to install and test device drivers: (Iphone)
1.) Connect the Iphone to the computer using the Iphone USB cable
2.) Wait till the computer recognize and install the device.
3.) The device icon in the task-bar will then be check when the device has been installed 













How to install applications software: (Open Office)



1.) Download the Open Office from this link: http://www.openoffice.org/

2.) When the download is finish, run the file. 
3.) A window will appear and will ask you where you want the file to be saved, choose your preferred location.
4.) It will then ask you some things but all you need to do is click on next until the setup is finished.
5.) After the setup is finish, it will ask you if you want a shortcut in your desktop and now you have Open Office.

How to install and set up security software: (AVG anti-virus)



1.) Download the AVG http://free.avg.com/gb-en/free-antivirus-download
2.) Run the installer
3.) Select your preferred language
4.) Accept the terms
5.) Choose the recommended install and click next
6.) Then you just wait till the installion is finish and click on finish
